1. What this policy covers
2. What we collect
2.1 What you tell us through our forms
- Your name
- Your work email address
- Your company or institution
- Your country
- Your phone number, if you choose to give it
- Whatever you write in your message
- The resource you asked for
We use this to reply to you, send you what you asked for, put a quote together, set up a technical conversation, and keep track of our contact with you.
2.2 What we collect automatically
Our analytics and session recording tools also log how you move around a page, such as scrolling and clicking. We use this to see which pages work and which ones do not. We do not use it to work out who you are.
2.3 If you apply for a job
3. Cookies
We use cookies. The ones that are needed to make the site work are set as soon as you arrive. Everything else, including analytics and session recording, waits until you say yes in the cookie banner.
CookieHub handles that choice. You can change your mind whenever you like, through the cookie settings link on the site.
These are the non-essential tools we use:
| Tool | Provider | What it does |
|---|---|---|
| Google Analytics 4 | Google Ireland Limited | Website traffic and campaign measurement |
| Matomo | Self-hosted, on our own server | Website traffic and campaign measurement |
| Microsoft Clarity | Microsoft Ireland Operations Limited | Session recording and heatmaps, so we can see which pages are hard to use |
| CookieHub | CookieHub ehf. | Remembering your cookie choice |
The cookie settings panel lists every individual cookie, what it does, and how long it lasts.
4. Why we are allowed to use your data
The GDPR says we need a legal reason for everything we do with your data. Here are ours.
| What we do | Why we are allowed to |
|---|---|
| Reply to demo, quote, and technical enquiries | Steps taken at your request before entering a contract, and our legitimate interest in handling business enquiries |
| Send you a whitepaper or a resource you asked for | Steps taken at your request, and your consent where you opted in to further contact |
| Follow up on your enquiry with related product information | Our legitimate interest in business to business marketing to a relevant professional contact, or your consent where that is required |
| Analytics, session recording, and non-essential cookies | Your consent |
| Keep the website secure and available, and keep server logs | Our legitimate interest in protecting our systems |
| Assess job applications | Steps taken at your request before entering an employment contract, and our legitimate interest in recruitment |
| Meet legal, tax, and accounting obligations | Compliance with a legal obligation |
Where our reason is legitimate interest, we have weighed what we want against what you would reasonably expect. You can object at any time. See section 8.
Where our reason is your consent, you can take it back at any time. That does not undo anything we did while we had it.
5. Who else sees your data
We do not sell your data, and we do not share it for anyone else's marketing. We use a small number of service providers, each under a data processing agreement, and only for the purposes described above.
| Provider | What they do for us |
|---|---|
| Zoho Corporation | Our CRM, workflow automation, and business email. Form submissions land here as leads and contacts. |
| Google Ireland Limited | Website analytics and tag management |
| Microsoft Ireland Operations Limited | Session recording and heatmaps |
| CookieHub ehf. | Cookie consent management |
| AXS-ICT | Website hosting and server logs |
We may also share data with our professional advisers, or with the authorities if the law requires it.
6. Data that leaves Europe
A few of our providers process data outside the European Economic Area, including in the United States. When that happens we rely on one of the safeguards in Chapter V of the GDPR: either the European Commission has decided the country offers adequate protection, or we have the Commission's Standard Contractual Clauses in place along with extra technical and organisational measures.
7. How long we keep things
| Data | How long |
|---|---|
| Enquiry and lead records in our CRM | 3 years after our last contact |
| Whitepaper download records and signed download links | Download links expire after 30 days; the record stays with the lead record |
| Analytics data | 14 months in Google Analytics, 13 months in Matomo, 30 days in Clarity |
| Cookie consent records | 12 months |
| Unsuccessful job applications | 4 weeks after the procedure ends, or 1 year if you agree to it |
| Records we need for tax and accounting | 7 years, as Dutch law requires |
Once the period is up we delete the data, or strip out anything that could point back to you.
8. Your rights
These rights are yours, and using them costs nothing:
- Ask for a copy of what we hold about you
- Ask us to correct anything that is wrong or incomplete
- Ask us to delete it
- Ask us to limit what we do with it
- Ask for it in a portable, machine readable file
- Object to anything we do on the basis of legitimate interest, including marketing. If you object to marketing, we stop.
- Take back any consent you have given, at any time
Email info@deltalifescience.nl and we will come back to you within a month. We may ask you to confirm who you are first, so that we do not hand your data to someone else.
If you are not happy with how we handle it, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the authority in the EU country where you live or work. We would rather you came to us first, so we get the chance to put it right.
9. Keeping your data safe
We protect your data with encrypted connections (HTTPS), access control on our website and our CRM, and signed download links that expire on their own. No system is ever completely safe, but we take this seriously and keep the risk as low as we reasonably can.
10. Automated decisions
We do not let software make decisions about you on its own, and we do not profile you. A person reads your enquiry and a person answers it.
11. Audience
Our website and our instruments are made for professional and scientific users. We do not knowingly collect data from anyone under 16.
12. Changes to this policy
Our website and our tools change over time, and this policy will change with them. The date at the top always tells you when we last updated it, and we will flag anything significant on this page.
